Short, long or A4? Paper sizes for PDFs in the Philippines

In the Philippines you will meet at least three paper sizes in a single week: "short" bond paper, "long" bond paper and A4. A PDF remembers the page size it was made on, and a printer loaded with a different size either shrinks the page, crops it, or leaves a blank band. Knowing the sizes by their measurements saves a trip back to the printing shop.

The four sizes, measured

"Short" bond paper is US Letter: 8.5 × 11 inches (216 × 279 mm). "Long" bond paper is 8.5 × 13 inches (216 × 330 mm). A4 is the international standard, 210 × 297 mm (about 8.27 × 11.69 inches). US Legal is 8.5 × 14 inches (216 × 356 mm).

Long bond paper is often confused with Legal because both are 8.5 inches wide and "longer than short", but long is a full inch shorter than Legal. A document set up as Legal and printed on long bond paper loses its bottom inch or is scaled down to fit.

Why a PDF prints "wrong"

A PDF stores the exact size of each page. When the paper in the printer is a different size, the print dialog chooses: shrink the page to fit (smaller text, uneven margins), print at actual size (anything outside the paper is cut off), or centre it (blank bands). None of these is what the author intended.

A4 and short bond paper are close enough that the difference is easy to miss on screen — A4 is slightly narrower and taller — yet a form with boxes near the edges can lose them when printed on the other.

Make the PDF on the size it will be printed on

The most reliable fix is at the source: set the page size in Word or your editor to the paper the recipient will print on before converting to PDF. If you do not know, ask; a school or office that prints on long bond paper will usually say so.

When converting a Word document, keep the document's own page size unless you have a reason to change it, and when you do choose a size, choose it by measurement — long is 8.5 × 13 inches — not by the name alone.

Printing a PDF you did not make

Check the page size first: most PDF readers show it in the document properties. If it does not match your paper, choose "fit to page" in the print dialog and look at the preview before printing — a small scale-down is usually harmless, while a crop can remove a signature line.

If a PDF has wide empty margins that make everything tiny when scaled, cropping the margins before printing lets the content fill more of the sheet.
