How to redact private information from a PDF
Drawing a black rectangle in an editor often hides information visually while leaving the original text available to copy, search or uncover. Proper redaction removes the underlying content before adding the visible box. Use it before sharing payslips, bank statements, identification, medical forms or contracts with someone who does not need every detail.
Steps
Work from a copy of the original PDF
Keep an untouched source file in a safe place and open a copy in Redact PDF. Redaction is meant to be permanent, so the original is the only reliable way to recover something removed by mistake.
Mark private areas by hand
Drag over each name, number, signature, barcode or image that must disappear. Make the marked area slightly larger than the visible content, especially around letters with tall or low strokes and text close to a border.
Search for repeated text
For searchable PDFs, enter a name, account number or phrase and review every match before choosing Mark all. Case-sensitive matching helps when a short word appears in unrelated places. Scanned pages are pictures, so their words must be marked manually.
Review every marked page
Use the marks list and finished-result preview. Repeat a mark across pages only when the same private item appears in the same position. Headers may be consistent, but scans and statements often shift by a few pixels.
Download and test the redacted copy
Open the new PDF, search for the removed words and try selecting or copying around every box. Zoom in to inspect edges. When a page had content that could not be removed confidently, the tool flattens that page to an image so the covered material cannot remain underneath.
Redaction deserves a second check because the consequence of one missed digit can be serious. Test the downloaded file, not only the preview. Search for removed terms, copy nearby text, inspect every page, and send only the redacted copy—not the original with a similar filename.
Common questions
Is a black rectangle the same as redaction?
No. A shape placed over text may leave the text inside the PDF. This tool removes underlying content where possible and verifies the output before saving it.
Can I search and redact every copy of a name?
Yes, when the PDF has searchable text. Review the matches first: the same word may appear in a company name, address or sentence that should remain.
Why does search find nothing in my scan?
A scanned page is usually one image without a text layer. Search cannot see the photographed words, but you can still mark the areas manually.
Why did one page stop having selectable text?
The page contained an image, logo, unusual font or other content that could not be safely edited in place. Flattening redraws the page without the marked area, trading selectable text for reliable removal.
Can redacted information be restored?
It should not be recoverable from the finished file. That is why you must retain the original separately and carefully inspect the marks before applying them.
